Recall reminders depended on a spreadsheet and one person’s memory. Now every patient gets the right reminder at the right time, by text and email.
01 The problem
Halden’s six clinics tracked hygiene and check-up recalls in a shared spreadsheet. Reminders went out when someone remembered to send them. Patients slipped through, chairs sat empty, and nobody could say how many recalls had been missed.

02 What we built
Recalls are now calculated straight from the practice-management system after every appointment. Each patient gets a reminder by text and email at the right interval, in the clinic’s own voice, with a link to book. If a patient doesn’t book within a week, a gentle second reminder goes out. If they still don’t respond, the front desk gets a short call list each morning instead of a spreadsheet to dig through.

03 The result
missed recalls
Nine months in, not a single recall has been missed across all six clinics. Recall bookings are up, and the front desk saves roughly a day a week that used to go into chasing patients.
